1. Information We Collect

CanOS collects the following information to provide our kennel management services:

Account Information: Name, email address, phone number, and business name when you create an account.
Dog Information: Dog names, breeds, ages, weights, health records, vet records, medications, and photos uploaded by users.
Communication Data: Messages sent through team chat and client messaging features.
Payment Information: Subscription and billing data processed through Stripe. CanOS does not store credit card numbers directly.
Usage Data: Information about how you interact with the app to improve our services.

2. How We Use Your Information

To provide and maintain our kennel management platform
To manage dog profiles, reservations, training plans, and daily operations
To facilitate communication between staff and clients
To process payments and manage subscriptions
To send notifications about important updates and activities
To provide customer support

3. Third-Party Services

We use the following third-party services:

Stripe: For secure payment processing. Stripe's privacy policy applies to payment data.
OpenAI: For our AI-powered help assistant. Queries sent to the assistant are processed by OpenAI.
Expo: For push notification delivery to mobile devices.

4. Data Storage and Security

Your data is stored securely on our servers. We implement industry-standard security measures including encrypted connections (HTTPS), secure authentication (JWT), and role-based access controls to protect your information.

5. Data Sharing

We do not sell, trade, or share your personal information with third parties for marketing purposes. Data is only shared with third-party service providers as necessary to operate the platform (payment processing, notifications, SMS delivery).

SMS / mobile information: No mobile information, phone numbers, or SMS opt-in consent will be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers and consent records are only used to deliver the appointment reminders and general messages the user opted in to, and are only shared with the SMS carrier (Twilio) strictly for the purpose of delivering those messages.

5a. SMS Messaging Program

CanOS sends appointment reminders and general operational messages to users who opt in by checking the SMS-consent box on one of our public sign-up forms (see our SMS Consent page). Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. For full SMS terms see the Terms of Service.

6. Multi-Tenant Data Isolation

CanOS uses a multi-tenant architecture where each business account's data is isolated. Your data is only accessible to users within your account based on their assigned roles and permissions.

7. Data Retention

We retain your data for as long as your account is active. Upon account cancellation, your data will be retained for 30 days before permanent deletion, unless otherwise required by law.

8. Your Rights

You have the right to:

Access your personal data
Request correction of inaccurate data
Request deletion of your data
Export your data
Opt out of non-essential communications

9. Children's Privacy

CanOS is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this privacy policy from time to time. We will notify users of any material changes via email or in-app notification.
